The exhibition is a vital part of the ICNMD Congress. Every effort will be made to ensure that all exhibitors receive prime exposure and direct marketing opportunities with key players and decision makers in the field. Efforts include but are not limited to:

Level sponsors have first choice in selecting booth location, followed by exhibitors on a “first-booked, first-served” basis, as long as payment is received. No exhibitor may sub-let or share with another exhibitor.

Non-Profit Spaces

Exhibitors who are defined as not-for-profit organizations are eligible to receive a reduced rate for a maximum of one (1) tabletop display (4 m2 space with table and 2 chairs + 2 complimentary exhibitor badges, Exhibit Hall access only). Assignment of space will be confined to a specific area on the floorplan. Non-profit exhibitors do not have the option to choose space in other locations on the exhibit floor at this reduced rate. Additional booths will be charged at the regular booth rate.

As the sponsor of an Industry Symposium, you will:

  • Have the use of a meeting room at the Fortezza da Basso for the duration of the symposium. You are permitted to hold the meeting at another property; however the same fee applies, and meeting space & AV package will not be available through the Congress Secretariat, but will be at your own expense. 
  • Receive a basic AV package with projector and screen, microphone at the podium, audience microphones, and a head table with microphones. 
  • Be listed on the Congress website, in the onsite program and mobile app, with symposium description and hyperlink to company’s own event page (if desired). 
  • Receive two (2) complimentary badges for your team or speakers to access your symposium. 
  • Include a complimentary delegate bag insert promoting your symposium (supplied by Sponsor; insert to be approved by Congress Secretariat). 
  • Get access to the live Participants List 60 days before the Congress (name, position, company, country, no contact information; only participants who consented).
  • Be listed in a summary e-blast highlighting all symposia, sent through the Congress Secretariat to all registered delegates prior to the Congress. 

Important Information:

  • Prices above do not include food and beverage; food and beverage can be ordered from the official catering provider via the Congress Secretariat
  • Only basic AV is included. Additional AV equipment can be ordered from the official AV supplier via the Congress Secretariat

The Sponsor must provide the symposium program as well as presentation slides to the Congress Secretariat, for approval by the Organizing Committee, closer to the Congress dates. Details will be communicated in the next few months.

The information discussed must be presented in an objective, balanced and scientifically rigorous manner. The content and format of the symposium or its related materials must promote improvements or quality in healthcare and not a specific proprietary business interest or a commercial interest. Titles must be indicative of the program topics.

Showcase Theatre Presentations

The Congress is pleased to introduce a new opportunity to present your research or updates to delegates. Presentations will be offered in the Showcase Theatre during afternoon networking breaks.

Ancillary Meetings
Definition and Blackout Times

Any meeting organized in conjunction with ICNMD by industry with participants who are registered Congress attendees (regardless of professional role or designation) will be deemed an Ancillary Meeting, whether held onsite or offsite.

Examples include roundtable discussions, steering committee meetings, advisory board meetings, investigator meetings, meet-the-specialist meetings.

Meetings that do not fall under this category are internal/staff meetings where only company staff are participating (whether attending the Congress or not).

Ancillary Meetings are not allowed to take place during blackout times, so as not to conflict with the official scientific program.

Exception

Meetings with fewer than 10 attendees and held onsite in a space reserved through ICNMD may take place at any time during the Congress. They are not subject to the above Blackout Times. They are still subject to approval and fee. 

Meeting Approval

All Ancillary Meetings, whether held onsite or offsite, must be submitted to, and approved by, the Congress Secretariat.

Meeting Fee

A Meeting Fee (space rental fee) is required for meetings held onsite. Duration includes setup, slide prep, meeting time, and teardown.

Penalty

Supporters found hosting an onsite or offsite Ancillary Meeting without prior approval by the Congress Secretariat will be subject to a penalty of EUR 15,000 and/or removal of benefits.

Requirements with the Italian Medicines Agency (AIFA)
When is it required?

As required by current regulations of the Italian Medicines Agency (AIFA), all companies holding marketing authorizations (MAs) in Italy or with registered offices, branches, or representative offices in Italy who intend to contribute financially or through sponsorship to educational events involving drugs for human use are required to submit a pre-request for authorization to AIFA at least 70 days prior to the event.

When is it not necessary?

Please note that the AIFA authorization is *NOT* necessary when:

  • A company promotes only medical devices or food supplements during a meeting (products without Marketing Authorization) but subjected to MEDTECH authorization (if the company is associated);
  • When a company sponsors a meeting about arguments not related to the use of any of its pharmaceutical products; in this case the company is not allowed to expose or distribute any kind of advertising material during the meeting (Section 9 art. 124 D.L. n.219/06).

Hotel Accommodation: Book Official!

The Congress Secretariat (International Conference Services, Ltd.) is the official housing bureau and will coordinate housing for the ICNMD Congress. Discounted room rates have been negotiated for delegates and groups. All sponsors and exhibitors are asked to support the Congress by booking accommodations via the official housing bureau.
